Project Coordinator

Project Coordinator, Construction  

Provide administrative support for various construction projects 

  • Assistance and coordination with construction site superintendents and subcontractors  

  • Monthly reporting of work / progress and tracking updates from the previous month 

  • Tracking and maintaining of official construction documents 

  • Management and tracking of shop drawings from subcontractors, and vendors. 

  • Attend Construction / Project Management Meetings, take Minutes of the Meeting and distribute to participants. 

  • Assist with the management of project communication and information flow between all stakeholders 

  • Management, preparation and follow up of close-out documents. 

  • Ensure project documentation is current, organized and flows throughout the project team efficiently 

  • Provide support as required to various other departments, including Design Managers & Accounting 

  • Follow up on field works and prepare progress diaries.  

  •  Ensure that the site office is working with the latest construction documentation. 

  • Update the Construction Project Manager with periodic reports on field progress. 

  • Review of payment application and input on field matters for preparation of payment certificates. 

  • Participate in progress meetings with the trade contractors and assist with preparation of minutes. 

  • Overview safety procedures on site and ensure immediate corrective action when deficiencies identified.  

  • Assist in the preparation of monthly reports  

  • Review progress at site with contractors’ personnel and provide input to the Planning/Scheduling Manger on progress updates.  Periodic reports from contractors shall reflect the progress percentages agreed by the superintendents /Field Engineer.  

  • Provide field input as well as scope definition to the QS / Commercial department for the processing of variation requests and communicate to the Contractor. 

  • Identify / highlight relevant progress & schedule issues during the review submittal /approval process. 

  • Interact on daily basis with the contractors’ personnel for site related issues and forward observations to the Project Construction Manager.  

  • Monitor and record contractors’ resource deployment at site on a daily basis and sign-off time sheets. 

  • Check and review contractors’ daily reports and one-week schedules. 

  • Ensure that effective coordination takes place between the trade contractors at site.  

Desired Skills and Experience 

  • Technology Degree or equivalent experience and knowledge, with 5 years’ work experience in the construction field 

  • High level of proficiency with MS Word, Excel and Outlook; working knowledge of AutoCAD, definite asset 

  • Strong organizational skills with ability to prioritize a high number of tasks 

  • High degree of accuracy in duties and responsibilities 

  • Works well in a high stress and fast paced environment
